1. Agreement to Terms

By submitting a booking with Tulip Photo Booth LLC ("Company," "we," "us," or "our"), you ("Client") agree to be bound by these Terms & Conditions. These terms constitute a legally binding agreement between you and Tulip Photo Booth LLC. Please read them carefully before completing your reservation.

2. Booking & Deposit

A non-refundable deposit of 50% of the total package price is required to secure your event date. Your date is not reserved until the deposit has been received and payment confirmed. The remaining balance is due no later than 7 days before your event date.

Bookings are accepted on a first-come, first-served basis. Tulip Photo Booth reserves the right to decline any booking at its sole discretion.

All cancellation requests must be submitted in writing to [email protected]. Cancellations are effective upon written confirmation from Tulip Photo Booth.

4. Rescheduling

Clients may request one complimentary reschedule with at least 30 days' notice, subject to availability. Rescheduling requests made within 30 days of the original event date may incur a rescheduling fee of up to 15% of the total package price. A second reschedule request will be treated as a cancellation under the policy above.

5. Event Day Requirements

The Client is responsible for ensuring the following conditions are met at the event venue:

  • A dedicated, level floor space of at least 10 × 10 feet for the stationary booth, or 12 × 12 feet for the 360° booth.
  • Access to a standard 110V electrical outlet within 25 feet of the setup area.
  • Adequate lighting in the booth area (we provide supplemental lighting, but extremely dark venues may affect photo quality).
  • A 30-minute setup window prior to the contracted start time. If setup access is delayed by the Client or venue, the contracted service hours will not be extended.
  • Safe and accessible parking for our equipment vehicle within a reasonable distance of the venue entrance.

6. Service Hours & Overtime

Service hours are defined by the package selected at the time of booking and begin at the contracted start time regardless of setup delays caused by the Client or venue. If the Client requests additional time beyond the contracted hours, overtime is billed at $125 per additional hour and must be paid on-site before the extension begins. Overtime is subject to staff availability and cannot be guaranteed.

7. Damage & Liability

The Client assumes full financial responsibility for any damage to Tulip Photo Booth equipment caused by guests or event staff. Repair or replacement costs will be invoiced to the Client and are due within 14 days of the event.

Tulip Photo Booth LLC is not liable for any injury, loss, or damage to persons or property arising from the use of our photo booth services. Our total liability under any circumstances shall not exceed the total amount paid by the Client for the event.

8. Force Majeure

Neither party shall be held liable for failure to perform due to circumstances beyond reasonable control, including but not limited to natural disasters, severe weather, government-mandated shutdowns, or other acts of God. In such cases, Tulip Photo Booth will offer a full credit toward a future booking of equal or lesser value.

9. Photo & Media Rights

By booking our services, the Client grants Tulip Photo Booth LLC a non-exclusive, royalty-free license to use photos and videos captured at the event for marketing and promotional purposes, including on our website and social media channels. If you prefer that your event photos not be used for marketing, please notify us in writing prior to your event date.

10. Privacy

We collect and store personal information (name, email, phone, event details) solely for the purpose of fulfilling your booking and communicating with you about your event. We do not sell or share your personal information with third parties except as necessary to process payments (Stripe) or deliver our services. Payment card data is processed securely by Stripe and is never stored on our servers.

11. Governing Law

These Terms & Conditions shall be governed by and construed in accordance with the laws of the State of Tennessee. Any disputes arising under these terms shall be resolved in the courts of Davidson County, Tennessee.

12. Changes to These Terms

Tulip Photo Booth reserves the right to update these Terms & Conditions at any time. Changes will be posted on this page with an updated effective date. Continued use of our booking system after changes are posted constitutes acceptance of the revised terms.
